Reservation Procedures
Reservations for space, set-ups, equipment, and services in the Ramsey Center are scheduled through the main office. We recommend contacting the Ramsey Center staff (828.227.7677) as soon as you begin planning your event to discuss your event needs in detail and to tentatively reserve your desired date(s).
Requests for reservations must be submitted in advance to the Ramsey Center on a Facility-Use Application form. Reservations are guaranteed only after the application has been approved by the Ramsey Center staff.
Public announcement or advertisement of an event proposed for the facility should be made only after you receive the application approval. Contractual commitments involving the Ramsey Center, likewise, may be made only after an approved reservation for its use has been obtained from the main office.
If you intend to contract with an external agency for talent, equipment, or other goods & services related to the event, the contract must be reviewed with the Ramsey Center Director in advance of its issuance. If the contract commits use of the Ramsey Center facilities, equipment, or personnel, it must be approved by the Ramsey Center Director and the University's Legal Counsel.
Certain events may require an extended contract in addition to the Facility-Use Application form. Any booking that requires food/beverage services must be contracted with Aramark. Any booking that entails service and consumption of alcoholic beverages requires an approved Application for Alcoholic Beverage Service form.
Event sponsors must have all technical production requirements, plans, ideas, and program content on file with the Ramsey Center no later than seven days before the event. Ramsey Center technical staff will be happy to produce diagrams for stage, sound, lighting, chairs, tables, equipment set-ups, and other details required for the successful presentation of your event.
